At the end of last year, we shipped an update to ProductivityTools that greatly improved the handling of email templates with the addition of our new template editor.

But we weren’t quite satisfied, so the latest update added the ability to create formatted email templates. So in addition to our extended and simplified replacement options, you can now format your emails with colors, or bold and italic fonts, for example.

We know that this improves our template editor, but does not yet satisfy many users’ desire to send real HTML emails from Daylite. So it’s even nicer for us to be able to tell you, as a reader of our blog, that you can look forward to it in one of our next updates.

With our WebForms plugin for Daylite you can connect the online form service Wufoo with Daylite.

WebForms imports the data entered by your customers on your website directly into Daylite based on rules. This eliminates the need for time-consuming post-processing of the many entries.


Example of a form for interested parties

For example, if you use a Wufoo online form to find out which products a customer is interested in and whether they wish to be called back by your sales department, Daylite will automatically create the corresponding data record with the data entered in the Wufoo form using our WebForms plugin. In addition, WebForms will attach the products that the customer is interested to the contact in the form of keywords.

The sales representative receives a callback request as a task delegation in Daylite automatically and is assigned the opportunity created by WebForms. Both of these are linked to the customer’s record, allowing your sales department to concentrate on the essentials: advising your prospects and customers, instead of having to create contacts, sales opportunities and tasks.

WebForms can automatically create the following Daylite items:

2. Companies
3. Tasks
4. Projects
5. Opportunities
6. File attachments

For each Daylite item, details such as category, keywords and fields to be filled can be specified in Daylite. If you want to create additional elements or modify existing elements, you can do so by using scripts within WebForms.

A small blue Safari icon next to the web address opens the link in the Web tab of your record. So you don’t have to leave Daylite when you want to get information from your customer’s website.

For our Daylite 6 Self-Serve customers, February 28, 2019 is an important date because this is the day that Marketcircle will discontinue technical support for Daylite 6 Self-Serve. You can read more about this decision from Marketcircle here.

What should you do to keep Daylite 6 Self-Serve up and running?

1. Update the iO PluginCenter to the latest version. This will ensure that you can continue to use your purchased plugins reliably with Daylite Legacy.
Please note: If you are using Daylite Legacy or Daylite 6 Self-Serve, do NOT upgrade your operating system to macOS Mojave. More about compatibility

2. Install the latest self-serve version of Daylite 6, which is now called Daylite Legacy.

If you want to use the new features of macOS Mojave, iOS12 and all future OS releases, switch to Daylite Cloud and benefit from the latest features in Daylite and iO plugins.

For many small business owners, bookkeeping and accounting is a necessary, but hardly enjoyable part of running a business. The customer’s complete invoice and estimate history is also stored in Daylite, so you and your team can keep an eye on incoming payments and open items at all times. If you also use the iO Time&Budget plugin to manage your working hours and project budgets, you can transfer services entered in Daylite directly to QuickBooks as an invoice. Or you can create estimates or invoices directly from the QuickBooks website. Other useful features of QuickBooks include:

– Seeing whether a client has opened a sent invoice
– Importing expenses from your credit cards & bank accounts automatically assigning categories
– Accepting payments online by credit card or ACH bank transfer
– Sales tax remittance and optional payroll services
– Accountant access for book-keeping and end of year tax preparation

And of course, being web-based, you can catch up on your invoicing and accounting anywhere.

It’s 3:30 PM. You’re sitting at your desk staring at another blank email window. The cursor blinking at you, taunting you to write words with every pulse. A sense of deja vu comes over you as you start writing yet another follow up email to a prospect. Your thoughts wander as you try to figure out whether you’re feeling like you need more coffee or have had way too much already.

These days we all send emails that are very similar to one another, if not pretty close to identical. “Just following up” or “I wanted to confirm our meeting” or “Here’s that proposal I promised you” or whatever phrase you repetitively type, is probably very ingrained in your muscle memory by now.

We love Daylite’s letter templates, but wanted to take this feature even further with the goal of helping you to automate these repetitive emails but still give you the control you need to add personalized elements into them, to keep your customers feeling like the special snowflakes they are.

With the latest version of ProductivityTools, we’ve created a new way to create these email templates and added the ability to create separate templates for appointment invitations, updates and cancellations.


Template all the things

With a completely new user interface, finding and adding the right placeholders into your messages is much easier. We’ve also added many more options to create emails that give relevant details, such as fields from Projects, Opportunities or Form entries. For example, all people linked to a project or the details field of that project or what pipeline stage an opportunity is currently in.

If you’re already a heavy user of the current letter template feature in Daylite, then you’ll love two features we’ve added:
For each template, you can add a description that appears when you select the template. This allows your colleagues to see at a glance for what purpose a particular template should be used.

And if you have templates that individual users don’t need, they can be deselected by each Daylite user so they only see the templates that are needed.

We have also given you a lot more control to make sure you’re sending the right message before it’s sent. You’ll see that description, select which language to use, choose which email address to send to or remove recipients before sending.

Setting Appointments

A big category of emails these days are those that go back and forth to figure out when a meeting should occur. Inviting colleagues to internal meetings, especially if they are Daylite users is easy. But when it comes time to send meeting invites to clients or suppliers, the world of emailing ICS files around can get a bit messy sometimes. The built in feature for this works, but sometimes you’d like a bit more control over what exactly is sent to your valued clients.

Maybe they have more than one email address? Or are in a different time zone? Perhaps after you’ve sent that initial invitation, you decide to change the meeting time or location? Or have you ever had that moment of panic when you delete an appointment and you’re not sure what kind of inappropriately robotic cancellation email has been sent off in the background?

So, instead of using your computer to help save you time, you type up an email manually with a bit more tact so that your client doesn’t misunderstand the reason for that cancelled appointment.

And for invitation updates there’s a handy placeholder for time and location which will show both the old time and the new time or location.
We also support templates in multiple languages and the various date and time formats for different regions. You can control if you want to send your recipient an .ics file to add the meeting to their calendar and optionally embed the appointment details from Daylite into this attachment so your client could see the agenda you’ve crafted in Daylite.

And if you already use the Zoom Integration included in ProductivityTools, you can also add placeholders for your Zoom meetings to your templates, so they receive the meeting URL and details all in one email.

Daylite CRM Slack Integration - Marketing&Chat

The latest addition to the iOSXpert plugin family is Daylite Slack Integration. Slack is a hub for your internal communication, making it easier and more efficient. We have integrated Slack as a new feature into our EmailMarketing plugin. Because of this addition, EmailMarketing expands from managing external communication to also include internal communication, we are changing the name of the plugin from EmailMarketing to Marketing&Chat.

When we started looking for a chat tool to collect and streamline all internal communication, including informal “water cooler” conversations, it didn’t take long for us to find Slack.

Every iOSXpert has access to Slack and can chat directly with every colleague 1:1 about the details for projects or background information about customers. In addition, we have what are called “channels” for certain topics, such as customer feedback, new releases or Beta tests. Every employee can join these channels, monitor communication and actively participate. Documents, images or video can also be shared via Slack.

When we start beta tests of new features or integrations, we also invite our customers to a beta slack channel. With Slack, we get direct feedback from our customers or answer their questions much quicker, without long confusing email chains. The complete history of a Slack chat is also visible to people who have jumped into the middle of a project and is fully searchable. If you want to communicate even more directly, you can also use Slack to make audio or video calls or screenshare for presentations.

Slack impressed us so much that we integrated Slack into Daylite. This means that the chats can be accessed in Slack on Mac, iOS, Android or Web, but you can also create a new Slack channel associated with a project, person, company or sales opportunity in a new widget view in Daylite and invite your colleagues or customers to join you. With the Slack integration we receive notifications about new chats directly in the macOS notification center. Or see badges in the Daylite sidebar when there is something new in Slack. Everyone can follow the conversation, actively participate and ensure that everyone on the team has the same information.

🎬 How do I set up Daylite Slack Integration?

The Slack chat is displayed on the linked Daylite record the new widget view, below the activity feed giving you quick access to the discussions around your project.

Chatting with Slack saves a lot of time, but it’s also super fun! Does email have a quick shortcut to insert an animated GIF? We think not.

And the free version of Slack is quite useable for smaller teams, maintaining a history of up to 10,000 messages supports 1:1 video conferencing. For the Daylite integration every user needs the Marketing&Chat plugin.
