A contact form is the easiest way to get in touch with customers via your own website. We also offer a contact form on our website. With mandatory fields, we can ensure that a customer or interested party sends us all the information we need to further process his request. We have created our contact forms with the help of the form service Wufoo. This service also allows non-programmers to easily create a contact form and define mandatory fields. Forms created in Wufoo can then be copied and pasted into an existing website or a link can be used to refer to the form.
With our Daylite extension WebForms, the Wufoo form can be directly connected to Daylite. All information, such as name and address, that a customer enters into the form automatically becomes records in Daylite. This saves us the manual creation of personal data records.

We have been using a telephone system from the STARFACE company for years. This system is available both as a real physical telephone system and as a cloud-based solution. The advantage of the cloud-based system is that no hardware is required. The telephone system functionality is provided via the Internet.
As a terminal device, you can either use a physical telephone or software that runs on Mac and Windows computers. The MacBook becomes a full-fledged telephone. The STARFACE software offers the possibility to make incoming and outgoing phone calls using the Mac as a microphone and speaker. (Works of course also with a connected headset, such as the Apple AirPods)
In addition, the software also shows all extensions of colleagues. So you can see who is talking and which colleague is free. In practice, this means for us that all colleagues are sitting in their home office, but can still react to incoming calls. It is also possible to forward calls with a mouse click.
By using the Daylite extension Fone&Text the STARFACE telephone system can be connected to Daylite. This allows not only to call a contact in Daylite with one click but also shows with the first ringing of incoming calls who is calling.

Time and again we are seeing how important personal contact is. Therefore, in times of remote working, we meet online once a day for a Zoom meeting to give each other an update on the upcoming tasks, but also just to chat again.
Instead of simply making phone calls, we, therefore, invite our customers mainly to Zoom Meetings. Zoom is a service that makes video conferencing easy. Each participant in such a video conference can share his or her entire screen or parts of it. This way you can discuss a document or view a website together. If desired, one can also request control of the remote computer to control the computer of another participant.
As a user of Acuity Scheduling, you can connect Zoom to this service. Then Acuity creates a Zoom video conference itself and sends the link for dial-in together with the appointment confirmation email. Zoom can also be connected to Daylite via our ProductivityTools extension. Once this is done, you can create a Zoom Meeting for each appointment with one click. With ProductivityTools you can also create appointment confirmation emails in a way that the link to the Zoom meeting is included immediately.

Our colleague, who heads the North American office, always works remotely. Even though video conferences, Slack and telephone are good ways of working together over distance, we have always missed the opportunity to spontaneously enter into a conversation with the colleague in Toronto in front of the coffee machine or to have him visit a colleague in his office. That’s why we bought a telepresence robot from Double Robotics. This is basically a cross between an iPad with improved camera technology and a Segway Transporter. Via a browser or optionally via an app, our colleague steers the self-balanced device through our offices. Just like in a video game, you just have to click on a destination, and the robot automatically drives to the desired destination.
The high-resolution camera has an excellent zoom so that we can also look at screens or whiteboards together. The Double Robot can be adjusted in height so that you can communicate with each other both sitting and standing. Even though some colleagues were skeptical when we bought it, nobody would want to miss it anymore. Meetings are almost as if our colleague was on-site and the unplanned visits to the colleague’s office have become as natural as a chat with colleagues who are physically on-site.
In fact, a MacBook or iPad already comes with everything you need for remote working. A high-quality camera, microphone, and speakers. But there are situations where you can add hardware to enhance remote working.
If you frequently hold video conferences with a large group of people, it is worthwhile to purchase a conference camera. We are big fans of the HELLO cam from Solaborate.
This handy device is not only a 4K capable video camera with a very wide recording angle, it also has several directional microphones to make the voices of everyone in the room clearly audible.
But an unbeatable advantage is that the camera is actually a small stand-alone computer with an Android operating system. If you connect the HELLO via HDMI to any TV set, it not only serves as a picture for the video conference but also as a screen for the Android computer, on which you can install various video conference systems. So you don’t need an extra computer for video conferencing. Since you can install any apps on the HELLO Cam, you are flexible in choosing your preferred video conferencing system. Almost all common conference systems are supported. It becomes even more professional if you order not only the camera but also the compatible multi-touch screen from the manufacturer. On this one can then work together on a whiteboard.

If you work in a team, communication between the only colleagues in the home office also becomes a challenge. We use Slack to exchange information quickly and easily. Slack is an internal company chat, which not only enables the exchange of direct messages but also works with so-called channels. A channel can correspond to a topic, a project or a department. For each channel, you can define which colleagues have access to it. So you are always sure that all relevant colleagues are informed when you write in the corresponding channel.
Slack also allows you to exchange files and even make audio and video phone calls. A suitable iPhone app ensures that you can stay in touch with your team even when you’re on the road. Another advantage is the countless integration possibilities that Slack offers. For example, we automatically receive a slack message when a customer has booked an appointment via Acuity.
With the help of our Daylite Extension Marketing&Chat, Slack can also be integrated into Daylite. The integration enables us to link a Slack conversation with a Daylite project or a specific person. Especially for a project linking it is very helpful that you can invite guest users when using the paid version of Slack. This way we handle not only the internal communication for larger projects with Slack but also the communication with the customer by inviting them to a project chat.

To make it as easy as possible for our customers to make an appointment with us in times like these, we use an online appointment service – in our case Acuity Scheduling.
In Acuity, we have defined bookable periods of time. Our team always offers slots between 10:00 – 13:00 and between 14:00 – 18:00. As soon as an appointment is booked via Acuity, we will receive a notification. So everybody is up to date about his appointments.
To avoid double bookings of a slot, we have connected our Daylite calendar with Acuity. This is made possible by our extension ProductivityTools. If a customer enters an appointment via Acuity or a colleague directly in Daylite, this time period is no longer bookable on our website.
Every one of us has missed an appointment or has been annoyed when a customer appointment has been canceled. With Acuity, we can send automated appointment reminders by e-mail or SMS messages. We define when and at what intervals our customers are reminded of an appointment. Best of all, we can freely adapt these appointment reminders to our design.

Olark offers the possibility to integrate an attractive online chat on your own website with just a few clicks. While Olark offers the chat option on the customer side, the colleagues on the iOSXpert side use a chat program like Adium or Trillian to comfortably respond to customer requests. Alternatively, one can log in on the Olark website to chat with customers.
If nobody has the time or if the chat is unoccupied – for example at night – Olark notices this and switches to the “Away Mode”. In this mode, the website visitor is offered to leave a message which can then be answered conveniently by e-mail. After the introduction, we were positively surprised how many customers use our chat offer daily.
