With all that wet and rainy weather in April we found enough time to add four great new features for you to our Time&Budget plugin. If you are already working hard with Time&Budget we hope you will find the new capabilities to be helpful.

Budget thresholds

The thresholds in projects help you to quickly distinguish whether you are still within the planned time or financial project budget. Nothing is worse than being surprised by bottlenecks. With Time&Budget’s threshold function, you can specify either a percentage or a currency value. If this value is exceeded, a graph within the internal project report shows you how close you are to the threshold you set. This allows you to see at a glance if, for example, 75% of the project budget has already been used up.

Previously, you could define a threshold value for your financial budget and a threshold value for the time budget.

From now on you have the possibility to define any number of threshold values. And not only that: You can now also define default thresholds in the Time&Budget settings. So nobody forgets to enter the threshold values in a project because they are already set automatically when the project is created.

Convert notes to expenses

Already today we use the Daylite notes as a basis for the recording of external costs and travel times within Time&Budget. Until now, you as a user always had to use the Add Expense button in order to enter an expense and receipt in Daylite.

Now you can convert any note in Daylite into an expense. This new function is especially interesting in combination with our extension DayliteDocs. Now you can automatically scan receipts into Daylite and convert them into an expense with only one click.

Automatic expenses

 

This function is also about recording expenses. Often, certain devices or facilities that generate costs are required to complete a project. Think, for example, of a video projector that you have to rent or a recording studio that generates costs when you use it. If you have already stored such objects as a resource in Daylite for planning purposes, you will be even more pleased about our new automatism. It is now possible to assign a cost rule to each resource in Daylite. So now, if you link an appointment that is configured with Time&Budget to a resource it is possible to generate an expense for the selected resource for the duration of the appointment. You can also automate this process. A background process checks all your used resources, generates an expense and can optionally delegate a task to the project manager for controlling purposes.

Grouped invoicing

Time and again, customers have asked us to make the transfer of times recorded in Time&Budget to invoicing systems such as Quickbooks Online even clearer. Invoices should not contain all the tasks/dates as individual line items, but only the parent task the individual tasks/dates are based on. Group invoicing does just that. The total of all individual dates is displayed as a value in the task to be billed and this can then be transferred to the invoicing program. On the one hand, this ensures a clean look for your invoices; on the other hand, you no longer present your customer all individual tasks/dates in the invoice.

A clear, agile project management tool with visualized workflow and simple drag & drop editing – that’s exactly what we wanted in our project planning. With the integration of Kanban boards into the iOSXpert Time&Budget plugin, we realized exactly that. The Kanban integration in Daylite is a little revolution for us, because it raises your project planning to a whole new level.

Kanban was originally developed by Toyota to optimize production processes. Later, Kanban was used more and more in software development and increasingly in other industries for project planning. We found a video by Michael Henze + Partner on the internet that illustrates Kanban.

Kanban - Time&Budget

Project planning can hardly be more descriptive. Each column represents a processing status (open, in progress, pending, etc.). Add new columns, name them and create as many tickets, i.e. tasks, as you need. Color-code each task via the category. When a ticket is edited or completed, it is simply dragged and dropped into the corresponding column. The task status is automatically adjusted immediately. Team members who take over tasks within the project or are linked to the project are displayed in swim lanes. Tickets can easily be delegated to other project members via drag & drop. This is ‘hands-on’ project planning.

Your project management becomes much clearer: At a glance you can immediately see which tasks are still open, which are already being processed and who is currently responsible for which task. Overdue tasks are highlighted in red. This enables you to identify bottlenecks or delays immediately.

Optimize your sales potential through a differentiated analysis of your sales opportunities: Which sales opportunities have been closed, which have you lost.

Define a time period to analyze which sales volume and how many opportunities have been won, lost, postponed or discarded for which reasons. You can customize these reasons in the Daylite settings.

A grouping by categories reveals further optimization potential and presents the reasons in a clear table. The number and volume of opportunities are also displayed as pie charts in order to always keep an eye on the distribution.

The color scheme is clear and can be adapted to your corporate design using the Report Designer.

Sales Forecast

View your sales opportunities from a new perspective. In just one report you get an overview of your past and future sales opportunities, can quickly make decisions or improve existing processes.

The report is highly customizable to your needs:

  • Select all sales opportunities or one of your smart lists with a selection of sales opportunities.
  • The value of the opportunity can be defined by volume, cost of goods or profit.
  • For sales opportunities that are still open, the value can be displayed based on the probability entered or in relation to the pipeline level reached (at 2 of 4 levels = 50%).
  • The time periods can be displayed as weeks, months, quarters and years.
  • You can set how many time periods you want to view in the future and/or the past.

The now selected parameters determine which opportunities are displayed.

In the display, you can define whether you want to group the opportunities by:

  • Opportunity category
  • Opportunity type
  • Owner/Sales Representative
  • Products & Services

A further Y-axis represents not only the volume of the sales opportunity but also the number of opportunities.

This gives you a “toolbox” for almost any controlling question in a single report.

We are thrilled to add support for QuickBooks Online to our FinanceConnector plugin. With this latest update, you can now see all billing information for your customers directly in Daylite. Open invoices created in QuickBooks directly from Daylite, or jump to the corresponding QuickBooks record with one click. Keep track of paid and unpaid invoices in Daylite. Import items and services from QuickBooks into Daylite. So you can write quotes in Daylite on the go and then send them to QuickBooks for further processing.

And if you use the iO Time&Budget plugin to record hours and control your project budget, you can transfer times recorded in Daylite directly to QuickBooks as invoices.

Many of our customers use the Mailchimp connection via the iOSXpert extension Marketing&Chat and have missed a function so far: From now on you can transfer the birthdays of your contacts, which you have stored in Daylite, to Mailchimp. Conversely, you can also store birthdays recorded in Mailchimp in Daylite.

Mailchimp is thus able to automatically send birthday emails at the right time. With this function your mailings will be even more personalized: Show your customers your appreciation with automated birthday wishes and prove at the same time that Customer Success is not a foreign word for you.

At the end of last year, we shipped an update to ProductivityTools that greatly improved the handling of email templates with the addition of our new template editor.

But we weren’t quite satisfied, so the latest update added the ability to create formatted email templates. So in addition to our extended and simplified replacement options, you can now format your emails with colors, or bold and italic fonts, for example.

We know that this improves our template editor, but does not yet satisfy many users’ desire to send real HTML emails from Daylite. So it’s even nicer for us to be able to tell you, as a reader of our blog, that you can look forward to it in one of our next updates.

With our WebForms plugin for Daylite you can connect the online form service Wufoo with Daylite.

WebForms imports the data entered by your customers on your website directly into Daylite based on rules. This eliminates the need for time-consuming post-processing of the many entries.

 

Example of a form for interested parties

For example, if you use a Wufoo online form to find out which products a customer is interested in and whether they wish to be called back by your sales department, Daylite will automatically create the corresponding data record with the data entered in the Wufoo form using our WebForms plugin. In addition, WebForms will attach the products that the customer is interested to the contact in the form of keywords.

The sales representative receives a callback request as a task delegation in Daylite automatically and is assigned the opportunity created by WebForms. Both of these are linked to the customer’s record, allowing your sales department to concentrate on the essentials: advising your prospects and customers, instead of having to create contacts, sales opportunities and tasks.

WebForms can automatically create the following Daylite items:

2. Companies
3. Tasks
4. Projects
5. Opportunities
6. File attachments

For each Daylite item, details such as category, keywords and fields to be filled can be specified in Daylite. If you want to create additional elements or modify existing elements, you can do so by using scripts within WebForms.

With the latest update, you can now also open any web address saved in Daylite within the Web tab.

A small blue Safari icon next to the web address opens the link in the Web tab of your record. So you don’t have to leave Daylite when you want to get information from your customer’s website.

For our Daylite 6 Self-Serve customers, February 28, 2019 is an important date because this is the day that Marketcircle will discontinue technical support for Daylite 6 Self-Serve. You can read more about this decision from Marketcircle here.

What should you do to keep Daylite 6 Self-Serve up and running?

1. Update the iO PluginCenter to the latest version. This will ensure that you can continue to use your purchased plugins reliably with Daylite Legacy.
Please note: If you are using Daylite Legacy or Daylite 6 Self-Serve, do NOT upgrade your operating system to macOS Mojave. More about compatibility

2. Install the latest self-serve version of Daylite 6, which is now called Daylite Legacy.

If you want to use the new features of macOS Mojave, iOS12 and all future OS releases, switch to Daylite Cloud and benefit from the latest features in Daylite and iO plugins.
